The Kilimanjaro Christian Medical University College is a constituent College of Tumaini University Makumira, owned by the Evangelical Lutheran Church of Tanzania. The College trains health professionals for various University awards in clinical, biomedical, and allied health sciences. It currently wishes to recruit competent and committed candidates to fill the following vacant positions:

1.0 SENIOR RECORDS MANAGEMENT GRADE III

1.1 MINIMUM QUALIFICATIONS

(i) Educational Qualifications:

Diploma (NTA Level 6) in Records Management conducted by the Tanzania Public Service

College or any other accredited institution.

(ii) Work Experience:

A working experience of at least one year, after attaining Diploma qualifications, in a Registry/Records Management Office will be an added advantage.

(iii) Knowledge, skills, and abilities of Records Management Assistant

a. Basic working knowledge of records management, storage, and retrieval.

b. Knowledge of general office procedures.

c. Good oral and written communication skills.

d. Good computer skills – MS OFFICE (MS Word and Excel).

e. Good organization skills and attention to detail.

1.2 DUTIES AND RESPONSIBILITIES

i. Handling registration of incoming and outgoing mail.

ii. Sorting, addressing, and dispatching letters/documents.

iii. Identifying, classifying, storing, and retrieving records.

iv. Searching/finding files as requested by different Officers.

v. Ensuring the correct distribution of files to scheduled Officers for action.

vi. Maintaining file/records movement register/book.

vii. Ensuring proper filing of letters/documents, indexing, and file movement.

viii. Returning files to the cabinets/racks and arranging them in proper order.

ix. Checking files in cabinets/racks periodically and ensuring order and neatness.

x. Weed out inactive files, i.e. old closed volumes, files for people who have died, resigned, retired, and those who have been dismissed or terminated.

xi. Requisition of stationery and office equipment.

xii. Security of the office and its equipment.

xiii. Overseeing Registry Office cleanliness.

xiv. Any other related duties as may be assigned by the Records Management Officer and other senior College Officers.

2.0 SENIOR RECEPTIONIST cum TELEPHONE OPERATOR GRADE III

2.1 MINIMUM QUALIFICATIONS

(i) Educational Qualifications:

Diploma (NTA Level 6) in Front Office/ Reception, Telephone Operation or Customer conducted by the Tanzania Public Service College or any other accredited institution.

(ii) Work Experience:

A work, volunteer, or internship experience of at least one year, after attaining Diploma qualifications, will be an added advantage.

(iii) Knowledge, skills, and abilities of Receptionist cum Telephone Operator:

a. Familiarity and experience with multiple-line phone systems.

b. Good written and spoken communication skills.

c. Experience with multiple line phone systems.

d. Ability to interact with all levels of office personnel while frequently being interrupted.

e. Trust and discretion in handling sensitive and confidential material.

f. An efficient and friendly person.

g. Knowledge and skills in using a computer and other office equipment (i.e. fax, copier, scanner).

h. The ability to stay calm under pressure.

i. Be courteous but firm when dealing with difficult customers.

j. A good memory for faces – regulars like to be remembered.

2.2 DUTIES AND RESPONSIBILITIES

i. Receiving all visitors in a professional style, ascertaining the nature of their business, and directing them to appropriate/respective staff members.

ii. Ensuring that visitors are well attended and sign the visitor’s book.

iii. May screen visitors and confirm that the visitor is who he/she says he/she is, request Identity Card.

iv. Responding to inquiries and providing information about the College.

v. Receiving all incoming telephone calls in a professional manner, directing and transferring them to relevant staff members.

vi. Making office telephone calls on the landline and ensuring all outgoing calls (including private and international calls) are recorded in the telephone calls register.
